Position Summary:

Reporting to the Workplace Experience Lead, the Workplace Experience Coordinator will be responsible for the day-to-day operation of our Vancouver office and for the experience people have while they are in it. The role spans front-of-house reception, facilities and supplies, shipping, and health and safety, alongside the events, team lunches, and swag that bring the office together. It will suit someone who takes pride in a well-run workplace and enjoys creating the moments that bring a team together.

This role is expected to leverage AI and emerging technologies to improve productivity, enhance decision-making, and continuously optimize how work is performed.

This will be a full-time, permanent position working out of the Vancouver office, on-site five days per week.

What You'll Be Doing:

  • Own the front-of-house experience — welcome visitors, candidates, and vendors, answer and route incoming calls, correspondence, and the shared office inbox within agreed response times, and keep the office secure by maintaining the visitor log and issuing badges.
  • Keep the office running day to day through regular walkthroughs, meeting room checks, upkeep across multiple kitchens, and daily supply ordering and inventory, receipt reconciliation, liaising with building maintenance and janitorial staff to resolve issues quickly.
  • Coordinate vendors and manage swag orders for employee onboarding and one- and five-year anniversaries, including custom LEGO swag and Trulioo Values bricks. Manage the shipment of equipment, swag, and other items through FedEx, DHL, and other courier services.
  • Curate the in-office experience alongside the Workplace Experience Lead — monthly events spanning ERG, wellness, cultural, social, and DE&I programming, twice-weekly team lunches, from researching restaurants across the city to placing the order, and a monthly happy hour.
  • Chair the Health and Safety Committee, running the monthly meeting and keeping the office's safety practices, training, and documentation current.
  • Keep recurring office administration on schedule — onboarding and offboarding tracking, monthly budget and invoice reporting for office purchases, anniversary date reports, and the monthly reporting that supports our internal compliance requirements.
  • Leverage AI and emerging technologies to improve productivity, streamline workflows, and identify opportunities for continuous improvement while ensuring the responsible, secure, and compliant use of AI tools.
  • Use AI assistants to triage and summarize the shared office inbox, draft event and office communications, and pull together recurring monthly reports from existing data.

What You'll Bring:

  • Education: Bachelors of Business Administration or equivalent experience. CPR-C and AED certification, or willingness to become certified through Trulioo.
  • Experience: 2–4 years in Hospitality or Facilities field, office coordination, reception, or administrative support.
  • Soft skills: Warm, professional communication with everyone from candidates to executives; a calm, organized approach to competing priorities; and the flexibility to change direction when the day does.
  • Hard skills: Inventory and supply management, vendor coordination, invoice and budget tracking, courier and shipping logistics, event planning, and recurring monthly reporting. Able to be on your feet for long periods and lift 50lbs.
  • Technology: Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), Slack, Zoom, Navan and courier portals such as FedEx and DHL.

Nice to Have:

  • AI fluency: Comfort using AI assistants such as Claude or Gemini to draft, summarize, and organize daily work, with the judgment to review output before it goes out and to handle confidential information appropriately.
  • Facilities or building operations experience: coordinating with property management on maintenance, repairs, and building access, and holding on-site vendors to their service standards.
  • A hospitality, concierge, or events background, and the service standard that comes with it.
  • Working knowledge of Vancouver's restaurant and venue scene for lunches, socials, and offsites.
