Medical Receptionist & Scheduling Coordinator (Epic EMR and Orthopedic practice)
About the Role
We are seeking a patient-focused, organized Medical Receptionist & Scheduling Coordinator to manage high-volume inbound/outbound calls and front-desk administrative operations.
In this role, you will be the primary voice and digital receptionist for our practice, handling approximately 60–70 calls per day . You will schedule routine patient appointments, route clinical messages, update patient demographic data, and assist with insurance verification—all directly within the Epic EMR platform.
Requirements
Key Responsibilities
1. Call Management & Patient Communications
- Manage a steady volume of 60–70 inbound and outbound patient calls daily with a warm, professional, and efficient phone presence.
- Answer patient inquiries, provide visit logistics, and accurately triage and route messages/clinical questions to the appropriate care team members.
2. Appointment Scheduling & Calendar Management
- Schedule routine patient appointments, follow-up visits, and consultations in strict accordance with provider scheduling templates.
- Perform outbound recall and confirmation calls to minimize no-shows and keep clinic calendars optimized.
3. Epic EMR & Data Management
- Maintain and update patient demographic details, contact information, and insurance records in Epic .
- Document all phone interactions, patient requests, and message routing within Epic accurately and in real time.
4. Front-Desk & Insurance Verification Support
- Perform basic insurance eligibility and benefits verification prior to scheduled appointments.
- Collect required patient forms, updated ID/insurance cards, and general registration paperwork.
- Assist with ad-hoc administrative and virtual front-office tasks as needed to ensure smooth practice workflow.
Qualifications & Requirements
- EMR Requirement: Direct hands-on experience using Epic EMR for scheduling and patient chart management.
- Call Volume Experience: Proven background handling 60+ inbound and outbound call volumes daily in a U.S. medical office setting.
- Front-Desk Competencies: Solid understanding of medical scheduling, call triage/message routing, patient registration, and insurance verification workflows.
- Communication Skills: Clear, empathetic, and professional English verbal communication skills.
- Organization: Strong multi-tasking abilities and high attention to detail while working in a fast-paced environment.
