This is a part-time position (20 hours per week) , offering flexibility while playing a key role in the day-to-day success of our office.
Key Responsibilities include:
- Be the Heart of the Office : Serve as the first point of contact for visitors, employees, and external partners. Act as the key liaison with our co-working space to coordinate employee access, visitor arrangements, meeting room bookings, courier and postal services, and day-to-day workplace needs.
- Operational Excellence : Oversee daily office operations, proactively manage inventory levels and office supplies, place and track orders, handle expenses, coordinate facility-related contracts and maintenance interventions, and ensure the workspace remains professional, functional, and welcoming at all times.
- Travel Arrangements : Coordinate end-to-end business travel, including flights, accommodation, ground transportation, and itinerary management.
- Financial Administration Support : Support day-to-day financial administration, including processing expense reports, tracking expenditures against budget, and coordinating with external suppliers and service providers.
- Event Coordination : Plan and organize internal meetings, team events, and company activities, ensuring seamless execution and a positive employee experience.
- Onboarding Support : Be the first face to greet our new joiners on their first day and help them get started on their learning journey.
Your interest and skills
- A proactive professional with a relevant bachelor's degree or equivalent experience; a background in office management, hospitality, business administration, or workplace operations is a plus.
- 2-3 years of experience in office management, workplace operations, or a similar administrative role.
- Previous experience in a fast-paced technology, scale-up, or startup environment is an advantage.
- Fluent communication skills in both Dutch and English, with the ability to build strong relationships across all levels of the organization.
- Exceptional organizational, time management, and problem-solving skills, with a proactive, detail-oriented approach to managing multiple priorities, projects, and operational challenges effectively.
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, and Word) and experience using collaboration and productivity tools such as Microsoft Teams.
- Experience managing suppliers, vendors, and workplace service providers, with strong follow-through and stakeholder management skills.
- A customer-service mindset and a genuine passion for creating an exceptional workplace and employee experience.
- High levels of discretion and professionalism when handling confidential and sensitive information.
