Recruiting Specialist

Help bring great people into Philz and create a hiring experience that feels thoughtful, organized, and human from the very first interaction. As a Recruiting Specialist , you’ll be at the center of our day-to-day recruiting process, helping keep hiring moving across the organization while supporting candidates and hiring teams along the way. You’ll manage key recruiting activities including job postings, interview coordination, offers, pre-employment steps, and applicant tracking, while also taking direct ownership of recruiting for the Barista position. For our Barista roles, you’ll review applications, interview candidates, and help identify people who can deliver the warm, personal experience Philz is known for.

This role is currently remote and must be based within the Greater Los Angeles area. Our teams will return to a hybrid office environment in Long Beach in Q1 of 2027.

WHAT YOU’LL DO

Recruiting Operations Administration

  • Create and post approved job openings in the Applicant Tracking System (ATS) and external job boards.
  • Maintain accurate job, candidate, and hiring information throughout the recruiting process.
  • Schedule and coordinate candidate interviews with recruiters, hiring managers, and interview teams.
  • Communicate interview details, scheduling changes, and next steps to candidates in a timely and professional manner.
  • Prepare and send offer letters using approved compensation and offer details.
  • Initiate background checks and other required pre-employment processes and monitor their completion.
  • Support new hire handoffs to the appropriate onboarding partners once pre-employment requirements are completed.
  • Assist with opening, updating, and closing job requisitions and maintaining accurate recruiting records.
  • Monitor recruiting workflows and follow up on outstanding actions to help keep hiring processes moving.
  • Support recruiting reporting, data entry, and other Talent Acquisition projects as needed.

Recruit for High Volume Positions/Events

  • Provide candidates with a responsive, organized, and professional experience throughout the recruiting process.
  • Review applications for select high-volume and entry-level positions against established role requirements.
  • Conduct candidate interviews for positions such as Baristas and other designated roles.
  • Evaluate candidates using established interview questions and selection criteria and document interview feedback accurately.
  • Communicate with hiring managers regarding candidate progress and recruiting needs.
  • Coordinate next steps for candidates who move forward in the hiring process.
  • Support hiring events, high-volume recruiting initiatives, and other recruiting activities as needed.
  • Escalate candidate, offer, process, or compliance questions to the appropriate Talent Acquisition or People partner.

WHAT YOU’LL NEED

  • 2+ years of experience in recruiting or human resources roles involving significant scheduling and customer or candidate interaction.
  • Strong organizational skills and the ability to manage multiple priorities, deadlines, and hiring activities at the same time.
  • High attention to detail when preparing documents, entering information, and managing candidate records.
  • Strong written and verbal communication skills.
  • Sound judgment and discretion when working with confidential candidate and employee information.
  • Experience working with an Applicant Tracking System or other Human Resources technology is preferred.
  • Experience supporting high-volume or hourly hiring is a plus.

ESSENTIAL PHYSICAL REQUIREMENTS

  • Visual acuity.
  • Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to others.
  • Excellent verbal and written English language skills.
  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.
  • Extending hand(s) and arm(s) in any direction.
  • Sitting for extended periods of time.

**Compensation Benefits
