Executive Assistant
Role Summary
We are hiring an Executive Assistant to directly support the CEO of a fast-moving startup. You will manage the CEO’s calendar, inbox, priorities, and follow-ups while serving as a trusted partner who keeps work moving in a fast-paced environment where priorities can shift quickly.
This role is ideal for someone with strong executive support experience who is proactive, highly organized, resourceful, and comfortable operating with ambiguity . You should be able to anticipate needs, make sound decisions, and move work forward without needing detailed instructions.
Key Responsibilities
- Manage the CEO’s calendar, scheduling, and meeting coordination with internal and external stakeholders
- Monitor and organize the CEO’s inbox, identify priorities, and assist with routine correspondence
- Track action items, deadlines, and follow-ups across multiple workstreams
- Prepare agendas, briefing notes, and meeting materials
- Triage and prioritize incoming requests based on the CEO’s goals and priorities
- Coordinate travel, meetings, and other logistics as needed
- Organize documents, files, and internal information for easy access
- Support ad hoc projects and administrative initiatives as the business evolves
- Anticipate the CEO’s needs and proactively follow through on outstanding tasks
- Handle confidential and sensitive information with a high level of discretion
Qualifications
- Proven experience as an Executive Assistant or Administrative Assistant supporting a senior executive
- Experience directly supporting a CEO, founder, or C-level executive , preferably in a startup or fast-growing environment
- Strong written and verbal English communication skills
- Excellent organization, prioritization, and time-management skills
- Comfortable working with ambiguity, shifting priorities, and a fast-paced environment
- Highly proactive and resourceful, with the ability to work independently
- Strong judgment and problem-solving skills
- Able to anticipate needs rather than simply respond to requests
- Demonstrated discretion when handling confidential information
- Proficient with calendar, email, communication, and productivity tools
- Location-flexible — candidates may be based anywhere
Requirements
Minimum Technical and Work Environment Requirements:
- Internet Connection:
- Primary internet connection with a minimum speed of 15 Mbps .
- Backup internet connection with at least 10 Mbps .
- Backup connection must be capable of supporting work during a power outage.
- Primary Device:
- Desktop or laptop equipped with at least:
- Intel Core i5 (8th generation or newer) , Intel Core i3 (10th generation or newer) , AMD Ryzen 5 , or an equivalent processor.
- A minimum of 8 GB RAM .
- Backup Device:
- Must meet or exceed the performance of an Intel Core i3 processor.
- Must be functional during power interruptions.
- A functioning webcam .
- A noise-canceling USB headset .
- A quiet, dedicated home office space .
- Peripherals and Workspace: A smartphone for communication and verification purposes.
