Executive Assistant
Job description
We’re looking for a highly proactive, detail-oriented Executive Assistant to join our team and support members of our leadership team. You’ll work alongside our existing EA team of three to help keep our executives organized, prepared, and operating at a high level.
This is not a traditional 9–5 Executive Assistant role. Aven operates in a fast-paced, high-intensity environment, and we’re looking for someone who brings a 24/7 mindset to executive support. That means staying ahead of priorities, responding quickly when plans change, and taking ownership of getting things done, even when needs arise outside of standard business hours. You’ll manage complex calendars, coordinate travel, prepare and organize meetings, anticipate scheduling conflicts, handle last-minute changes, and ensure executives are consistently prepared and unblocked. You’ll also take ownership of special projects and the many details that keep a rapidly moving leadership team operating effectively.
As a startup, priorities can change quickly, and this role may take on any task needed by the EA team or broader company. RESPONSIBILITIES
- Own complex executive calendars, scheduling, and day-to-day prioritization
- Coordinate domestic and international travel, including last-minute changes
- Manage meeting logistics and ensure executives are prepared and unblocked
- Anticipate needs, conflicts, and priorities before they arise
- Handle time-sensitive requests with urgency and strong follow-through
- Support special projects and ad hoc requests from executives
- Partner closely with the broader EA team and provide coverage wherever needed
- Adapt quickly as schedules, priorities, and company needs change
- Jump in on company-wide tasks and projects as needed—no task is too big or too small
- Maintain a high level of discretion, judgment, responsiveness, and attention to detail
- Must be willing and able to travel, including on weekends, as needed to provide executive coverage when the Lead EA is unavailable.
Qualifications
- Bachelor's degree required.
- Exceptional attention to detail.
- Ability to take ownership and work independently with minimal supervision after training.
- Ability to effectively execute tasks based on provided instructions.
- Proactively identifies gaps in support and seeks opportunities to help.
- Highly responsive via SMS and email.
- Comfortable operating in a high-growth startup environment where business needs and priorities may extend beyond a traditional 9–5 schedule.
